Knowsley Hall is a Grade II listed stately home and a "hidden gem" in the North West of England. Owned by the Stanley family, the Earls of Derby, for over 600 years, the estate is steeped in royal history, having welcomed distinguished guests since 1495. Set within 2,500 acres of private parkland with gardens inspired by Capability Brown, the Hall remains home to the 19th Earl and Countess of Derby. Like any true fairy tale, however, this story requires its own tech "wizard" to continue thriving in the modern world.

Beyond its historic charm and masterworks of art, Knowsley Hall is a complex commercial enterprise. Operating as an exclusive venue for exquisite private stays, luxury weddings, corporate events, and even film productions—with the capacity to provide on-site accommodation for up to 36 guests —the estate required a solution to unify its diverse business lines. The goal was simple: to protect, manage efficiently, and continue the development of a 600-year-old legacy by empowering it with 21st-century digital efficiency.

Managing such a wide array of revenue streams previously required significant manual effort. The lack of connectivity between departments created a risk of losing leads and made it difficult to gain real-time visibility into costs and the actual profitability of individual events. Every modern-day fairy tale, however, needs a touch of tech magic to endure and to guarantee happy endings.

The solution

An unified platform for total estate management

The "wizard move" behind the scenes is realized through the transition from fragmented systems to a powerful, integrated platform. Building on the existing Microsoft Dynamics 365 Business Central foundation for accounting, Navtech Group implemented LS Central for Hotels and the Bookings module as a first step in a phased journey to upgrade and unify the entire system into a single, unified platform. This solution serves as the "central brain" of the estate, streamlining everything from the initial website inquiry to the final glass of wine served at the bar.

Automated "Royal" hospitality

Luxury weddings at Knowsley Hall are now managed through built-in intelligent logic. The system automatically enforces specific business rules, such as the "15+1" room booking requirement when the venue is reserved. It also seamlessly handles seasonal pricing models (high and low season) and tracks commissions for the venue`s trusting partners.

From "Murder Mysteries" to film sets

The flexibility of the solution allows the team to manage diverse commercial activities with ease:

  • Customized ticketed events: Precise management of themed parties, including guest-specific details like seating arrangements and allergy tracking.
  • Specialized contract events: Tailored setups for film productions and shooting parties, including the tracking of specific metrics.
  • Marketing & Internal events: Dedicated workflows for Open Days and Agencies to ensure marketing activities are tracked independently from commercial revenue.

Real-time financial transparency

For the first time, management has a 360-degree view of the estate’s financial health. The system monitors:

  • Revenue across different lines, including accommodation, food, and venue hire.
  • Maintenance and repair costs for every specific building on the estate.
  • The exact financial performance and ROI of every individual project or event.

A paperless office and streamlined communication

The sales funnel from inquiry to contract is now entirely digital. Inquiries from the website and platforms like Hitched flow directly into the system as contacts. A shared Calendar integrates with Microsoft 365 Outlook and SharePoint, making the bookings visible to all relevant staff and all client emails and attachments are saved directly to the specific reservation, so every team member has the full history of the client’s requirements.

Real-time inventory control

With Business Central and LS Central, for the first time, Knowsley Hall can track its high-value assets in real-time. Every sale at the bar is tracked through POS devices, updating inventory levels in the wine cellar automatically.
